What is your cancellation policy?
Consistent attendance is important for therapy to be effective. If you need to cancel or reschedule, please provide at least a 24 hours notice prior to your scheduled appointment. While we are willing to consider emergencies and illnesses as a contributing factor, late cancellations may result in a fee.
What is considered a no-show?
A no-show occurs when a client does not attend a scheduled appointment and does not cancel within the required timeframe listed in the practice policy. For telehealth appointments, this may also include not logging in or being unavailable for the scheduled session. Clinicians will remain online for telehealth appointments for at least 15 minutes and then log off and count the session as a no-show. If a client is more than 15 minutes late to an in-person session with no notice the clinician is not required to remain in office and may count the appointment as a no-show.
Why do you charge a no-show fee?
A scheduled therapy appointment is a reserved clinical time that is held specifically for you and/or your child. When an appointment is missed without enough notice, that time usually cannot be offered to another client who may be waiting for care.
The no-show fee helps account for the reserved time, preparation, clinical scheduling, and the impact missed appointments have on access to care for other clients. The purpose is not to punish clients, but to support consistency, fairness, and responsible use of appointment times.
How much is the no-show or late cancellation fee?
No-show and late cancellation fees are listed in the intake paperwork and consent forms. Please review your signed practice policies or contact the office if you have questions about your specific fee. These fees range depending on the clinician but could run anywhere from $100-$150.
What happens if I miss multiple appointments?
If a client has three no-shows in a row, they may lose their recurring scheduled time slot.
If a client has three cancellations in a row, they may also lose their recurring scheduled time slot.
This policy helps ensure that appointment times remain available for clients who are actively able to attend therapy. Losing a recurring time slot does not necessarily mean services are permanently ended, but future scheduling may be based on availability rather than a held weekly appointment.
What if I have an emergency?
We understand that emergencies happen. Please contact the office as soon as possible if an urgent situation prevents you from attending. Fees and scheduling decisions may be reviewed based on the circumstances, clinical judgment, and practice policy.
